The product becomes useful as soon as more than one person is on it. Get the team in first.
Option 1: Invite by email (fastest for small teams)
- In Vacation Flow, open Settings → Team.
- Click Invite members.
- Paste email addresses — one per line, or comma-separated.
- Set their role: Member (request leave, view the team calendar), Manager (also approves direct reports’ PTO), or Admin (full access including billing and settings).
- Click Send invites.
Your teammates get a clean email with a link to set their password. No approval workflow on your side — they're active as soon as they accept.
Option 2: CSV upload (faster for larger teams)
- Go to Settings → Team → Import from CSV.
- Download the template CSV.
- Fill in the columns: first_name, last_name, email, role, manager_email, start_date.
- Upload the file.
- Review the preview — fix any errors.
- Click Send invites.
Good for teams of 10 or more, or if you’re migrating from another tool.
Troubleshooting
Common issues
They didn't receive the invite
Check spam first; some corporate spam filters are aggressive. Resend from Settings → Team → click their row → Resend invite.
Wrong email address
Delete the invite, re-create with the correct email. No penalty, no impact on billing.
They need manager permissions after signup
Click their row in Settings → Team → change role to Manager. Takes effect immediately.
